GUIDE TO GOOGLE STORAGE


              Google provides 15GB of free storage for personal accounts that can be used to store messages for future reference. The free storage space extends to 30GB in cases where the account is opened through school or work. This storage pace is shared across Google drive and Google+ photos which are services provided upon opening a Gmail account. The storage space stores the messages, attachments in the email including all items in the spam and trash folders. Files in the drive such as videos, images and documents that are not created using the Google docs, sheets and slides. The storage space also includes the photos that are uploaded on Google+. Shared files and Google sheets, slides and drawings are not stored in your storage space.

Determining the amount of storage space in use



While logged in to your account, access the inbox. Check at the bottom left corner of the page the space used is displayed in the form of percentage and also the number of GBs in use out of the total space available. You can also determine the storage space from the drive, access the Google drive and on the left column the storage space is displayed below the Bin. Hovering over the link shows a breakdown of the space used for files in drive, email and photos.

Managing your storage space


Google offers the option of buying more storage space to add onto the free storage space available in cases where you have used up your free space. To buy more storage space from your Gmail account click on settings and on the bottom left corner where it displays the amount of storage space in use click on manage, this will open a window showing the space available and additional icons showing the amount of space one can purchase together with the price for each.


Another option to create space in your Gmail account is to delete old items that you donĂ¢€™t require anymore such as mails and Google+ photos. To delete items such as emails first you have to identify the criteria you will use for selecting the mails that can be termed as useless. These could be mails from a specific person or emails that were received within a period of time or even mails with about a certain subject. The search text box above the inbox can be used to search for mails by typing the keyword that you want to base your search on whether name of a sender, year the mails were sent or even mails related to a certain subject.

EMAIL DELEGATION


What is Email Delegation?


Email Delegation is the process by which an email user grants another party permission to receive and respond to email messages on their behalf. This is a very important feature in the office set up whereby a manager can grant e-mail rights to an assistant or administrator in the organisation so that they can respond on their behalf in case they are not available or when the matter doesn’t require the manager’s attention. Delegation can also be used in the family setup where one can chose to delegate emails to their spouse.

Delegation in Gmail


Gmail permits users to delegate mails access up to ten users for private emails. These delegates can haven't any rights to vary the account settings or chat on behalf of the mail owner however they'll be ready to browse send, and delete messages on their behalf and even access the contacts of the e-mail owner.


How to delegate your email


Click on the gear at the highest right corner of the Gmail window
Click on settings and choose the Accounts and Import tab.
Locate grant access to your account and click on on Add another Account
Enter a Google mail address of the person you wish to access your account
At this stage you'll be prompted to send email to grant access
The delegate then receives a notification that they need been granted access to you mail
The delegate can got to ensure the request once that it's going to take concerning half-hour for the method to be verified. you'll be able to check the standing on the Accounts and Import tab in Settings

Note: Any messages that ar sent on your behalf can have your name listed additionally to the delegate’s name. To use delegation each accounts should be enabled and verified.

How to access the delegated email account


To access a delegate account, click on the profile picture or email address at the top right corner of the window and click on the delegated email address which will be displayed there.

How to remove a delegated account

Click on the gear at the top right corner of the email window
Select on settings and click on the Accounts and Import tab.
Navigate to Grant access to your account

Click on delete on the account you wish to delete

The inbox



This is one of the most important features of a mail service program. This shows all the received messages and their replies a feature which enables people to view emails as a conversation for easier follow up.


Compose mail button


This is used to launch the textbox within which the user types the message to send to recipient. On clicking a window is displayed with the contact textbox, Subject textbox and the message textbox. On the contact textbox the user enters the email of the recipient then the subject on the subject textbox then types the message to be sent on the message text box.

Drafts



This feature enables the user to continue writing an email they had composed earlier but was not sent for some reason. Although Gmail automatically saves a copy of the email when composing it after a small time interval the user can decide to save the email by pressing the save now button below the compose textbox. The email automatically disappears on the drafts folder when it is sent.

Sent mail


This label shows the mails one has sent to other recipients. It is useful in separating the mails sent from the one you have received as opposed to the inbox which shows a stack of conversations.

More



This label usually contains options like trash and spam. It normally contains options that are not mainly used in mailing. To add an option in the more label can be achieved by dragging and dropping it the folder.

Delete button


This comes in handy when you want to remove mails that are no longer useful or when you want to free some space when it is depleted. The conventional way of deleting mails is by selecting the email by checking the box next to the email and clicking delete. This will send the mails in the trash folder. To delete these permanently click on the trash folder and select delete as well.

Keyboard shortcuts


Gmail enables one to use keyboard shortcuts to perform quick actions. The most common shortcuts are shown below.

Control + Enter: This is used to send mail after it is composed
Control + Shift+ C: This is used to add Cc recipients
Control + Shift + B: Used to ad Bcc recipients

Shift + ESC: This is used to dif focus to the main window
