FILTERS

What is a filter?

A filter is used to organise emails for easy access and managing the flow of incoming mails. Filters provide users with the capability of automatically directing their mails to specific labels, archives, star or even delete or forward certain mails.

How to create filters:

Log in to GmailClick on the drop down list at the far right corner of the search text box, just before the search button. This will display a window which allows you to specify your search criteria.Enter the search criteria and click on the search button to verify the search results are accurate.At the bottom of the search window click on Create filter with this search.At this point specify the action that you want the filter to perform e.g. Labelling and moving incoming messages from the inbox to certain folders or even forwarding mails to certain addresses.Click on create filter and your good to go.
Editing or Deleting Filters

This feature is used to change or update the criteria of filtering or removing filters that are no longer required.

How to edit/Delete a filter


Log in to Gmail
Click on the gear at the top right corner of the Gmail window and select settings.
Click on the filters tab and identify the filter you wish to change or remove
Click edit to update filtering criteria or Delete to remove the filter
Update the actions if relevant and click on update filter button
Exporting and Importing Filters

When it comes to setting up filters on multiple accounts whether in an office setup or individual multiple email accounts one doesn’t need to repeat the same procedure over and over again. This feature enables one to easily create a filter in multiple accounts with minimal editing and at some point no editing at all.

How to export/Import a Filter:

THE ACTIONS TOOL BAR


What is the action toolbar?


The actions tool bar is found above the messages just below the search text box. This tool bar contains various buttons that allow the users to perform quick functions on messages. These functions range from selecting, deleting, marking to archiving.

Uses of the buttons on the Action tool bar

When a user has not selected or opened a message the action toolbar only contains 3 buttons which include:


1. Select


This button is used to select messages. When checked all the messages in the mailbox are selected and un-checking it deselects all selected messages. This button provides the options of selecting all messages, all read or unread messages, all starred or un-starred messages. These options are accessed by clicking the dropdown list beside the select checkbox.

2. Refresh


This button is used to check for new mail when the user has been logged on for some time.

3. More


The More Button provides the options of marking all the messages as read when there is no message open.

When a user has selected or opened a message the following buttons are displayed on the action toolbar.


1. Select


In this context the select button still provides the same options provided when no message is selected or opened.

2. Archive


This button is used to remove the emails from your inbox but stores them for future reference. 

3. Mark as Spam


This button is used to report spam messages in case where the spam filters fails to work. Clicking this button when you select a message quickly marks it as spam.

4. Delete


This button is used to move the selected message(s) to the trash can. Messages in the trash can are automatically deleted after 30 days or they can be deleted by selecting empty trash now.

5. Move to


This button is used to move messages from your inbox to a certain folder for easy organisation. For example messages concerning a certain subject can be moved and stored in one folder for easy access.

6. Label


This button allows you to organise messages into categories. This feature works in a similar way to Folders but it has more advanced features like allowing one to add more than one label to a message.

7 Move button


When a message is selected the More Button provides a number of options listed below:

a) Mark messages as Unread
b) Mark as Important
c) Add to tasks
d) Add star
e) Filter messages
f) Mute

THE GMAIL SECURITY CHECKLIST

Security is one of the most important features that a mailing program should guarantee.

Ensure your pc or phone is always scanned for malwares or virus programs. Also ensure regular updates of programs provided by your operating systems to ensure you have up to date protection as some contain important security updates.

Keep your Browser updated


This ensures that the latest security updates by the browser are in place this will reduce the possibility of your email being hacked.

Turn on 2 step verification


This gives you the option of protecting your Gmail account with your phone rather that the password only. This ensures that when someone gets their hands on to your password they will not be logged in unless they have a code that is usually sent to your phone during log in.

Always refrain from filling online forms that request your details and passwords


This will ensure your personal details are not submitted to otherwise unscrupulous people with ill motives. Some fraudsters also use Google brand to undertake fraud related activities. Ensure you don’t click on ads or buy products from sites that you are sure if they are safe.

Always keep tabs on the programs and services authorised to access your Google account data


Some websites and plug-ins always request permission to access your account data. Ensure that these services are authentic and provide a way to protect your information as the Google security policy doesn’t guarantee security of these apps. If these services and apps are compromised they may also compromise your Gmail password. Also ensure you log out when you use a shared computer to access your emails.
